Each academic year runs on one roster:

  • New riderNew riders measure for the first time.
  • Returning riderReturning riders confirm or change last year's locked measurements.
  • UnconfirmedRiders who have left are settled line by line by your team lead at the lock.
We run team kit programmes for student-run university and college teams, and for school teams led by a teacher or coach.
Your team jersey and the five pieces worn with it are made in your colourway, men's and women's cuts from XS to 3XL, with crest and sponsors placed on one signed proof and each rider's name and number taken from the locked roster.
Send your academic calendar and your design or current kit. Within 48 hours of receiving your team size, team type and design confirmation, you receive an ordering plan with your intake window and its open, close and lock dates.
  • New, returning and leaving riders marked on one intake roster
  • Number clashes sent to your team lead before the lock
  • Team file kept 5 years after your last order
  • Quality management certified to ISO 9001:2015

One Academic Year of Team Kit, From Intake to the Next Captain

Every school or college team runs through the same academic year. The three set-ups below differ in how many windows the year holds and in whether the team lead changes each year.

  1. Ordering plan.

Your Programme Coordinator anchors the intake window on the first date in the academic year your team needs kit, a first group ride or a first race, and works the lock date back from it.
  2. Layout proof.

Our Kit Layout Designer draws the proof from your colours, crest and sponsor list, and your team lead signs the final version.
  3. Intake window.

At the start of the academic year our Order Desk opens the roster link, and your lead passes it to every rider.
  4. Size and number check.

The Order Desk reads each rider's measurements against the chart that matches the cut on the line, and compares each newcomer's number with those already held by returning riders.
Riders entering their names, numbers and measurements on their phones through the roster link
  1. Roster lock.

The roster is locked under two signatures, your lead's and the Order Desk's.
  2. Production and packing.

The window is produced in one run, packed rider by rider and sent to your team lead's address.
  3. Riders who join later.

A rider who signs up after the lock is held on the waitlist until the team's next window opens.
  4. Year end.

The team file takes the signed proof and the locked roster with every rider's measurements, ready for the next intake and the next lead.

The four people on our side, and what each of them signs, are set out on our about page.

Student-Run University Cycling Clubs With One Intake Window a Year

A student-run club has a new captain each year and new riders at every intake. Its university cycling club kit is ordered once a year, in a window opened at intake.

What comes in from the club:

  • The new captain brings a copy of the team file, holding last year's signed proof and locked roster.
  • The intake sign-up list names the first-years and transfers joining this year.
  • Returning riders are already on last year's roster.
  • The date of the first group ride or first race of the year sets the anchor.

The intake window runs on the three kinds of roster line described below. The captain forwards the roster link, settles flagged lines with riders, and signs the lock with the Order Desk.

The handover happens once a year, between one intake and the next. The outgoing or incoming captain tells us in writing, the new captain takes a copy of the team file, and the next intake starts from last year's locked roster with no sizes collected again from the whole club.

Illustrative photo: a student-run university cycling club stopped on a weekend ride, new and older riders all in the same maroon and white colourway
One university club we run has about 40 riders, and around 14 of them are new each year, first-years and transfers.
Those 14 riders give their chest and waist for the first time at every intake.
Every other rider opens their own line with last year's locked measurements on it and confirms or changes them.
The club has ordered in one colourway for 3 academic years.
Each piece is printed from its dated colour reference version in the team file, so the third year's kit comes from the same references as the first year's.

At the lock, the roster carries this year's riders, the lines of riders who left stay in the file, and the next captain inherits both.

University Cycling Teams Adding a Whole-Team Window Before Spring Racing

A university team racing through the spring term runs two windows in its academic year: the intake window, and a whole-team window before spring racing.

A university team captain hands a new team jacket to a teammate on a cool early-spring morning before racing
Riders unpacking outer layers from a second whole-team window

The team brings the same inputs as a one-window club, plus its spring race dates and the outer-layer pieces it wants for the colder months.

The intake window runs as for any student-run team. The spring window is a second, whole-team window:

  • The whole team adds outer layers there, for example a jacket for every rider.
  • Riders who joined after the intake lock and registered on the waitlist are ordered in it, sized as new riders.
  • A piece added mid-year goes onto the combined wearing drawing as a new dated version, which your captain countersigns before the window opens.
  • This is where a university cycling team kit differs from the one-window club. The roster locks twice in one academic year, and each window has its own locked roster, its own production run and its own per-rider packing list. A rider who joins in the first term reaches the spring window, not next year's intake.

The captain changes once a year, as in any student-run team, with the same written notice and team file copy.

By the first spring race, the team file holds two locked rosters for the year, and every rider who joined in the first term is on the second one.

School Cycling Teams Led by a Teacher or Coach

A school team is led by a teacher or coach who usually stays from year to year, while riders move through and graduate. The lead signs the layout proof and every locked roster.

What comes in from the team:

  • School colours and the school crest as a vector file. Where the school requires approval before its crest is used, your teacher or coach obtains it from the school, and we place the crest from the file your lead sends.
  • Last year's locked roster from the team file.
  • The new riders joining this year.
  • The date of the team's first ride or race of the year.
A teacher who coaches the school cycling team checks a tablet while the team's riders, seen from behind, wait with their bikes at the edge of a playing field
  • The intake window runs on the same three kinds of line.

Each year your lead decides the lines of riders who have not confirmed, most of them riders who graduated.
  • For a school cycling team kit, the year's turnover sits in the riders, not the lead.

There is usually no lead handover, and the same teacher or coach signs year after year.
  • A school team that also rides mountain bikes uses the same programme.

MTB school teams, with riders measured over race protection, are covered on our MTB team jerseys page.

At each lock, the team file holds this year's roster under the same lead's signature, with every earlier year's roster behind it.

One First-Year Rider Followed From Intake to Their Second Year

Take one first-year who signs up at intake. The first steps are the same in every set-up.

Your team lead forwards the roster link. The rider opens a blank line and enters a name and a number, then a cut and size with chest and waist measured against our chart.

The Order Desk checks the size against the measurements and the number against every returning rider's number. The line is locked with the rest of the team and the rider's measurements go into the team file.

What differs is what happens around that rider in their second year:

  • A club riding out together in one team kit

    Student-run club with one window.

At the next intake the rider opens a returning line pre-filled from their locked measurements, under a different captain holding a copy of the same team file.
  • A team riding out in matching outer layers over their jerseys

University team with a spring window.

Where the team adds an outer layer in the spring window, the rider's first year holds two locked lines, one from each window, and both sit in the file behind their second-year line.
  • A teacher measures a returning school team rider, seen from behind, in a school sports hall at the start of the year

    Teacher-led school team.

The same teacher who signed the rider's first line signs their second, and the rider's line is checked against their own locked measurements from the year before.

In every set-up, the year the rider leaves, their line becomes an unconfirmed line and your lead decides it at the lock.

With your academic calendar and last year's roster, we mark on the ordering plan the window a first-year joining at each point of the year would reach.

Intake Roster: New, Returning and Leaving Riders on One List

A college cycling team kit order at intake runs on one roster with three kinds of line. Our Order Desk opens it, checks it before the close, and locks it with your team lead.

  • New rider lines.

A first-year or transfer opens a blank line through the roster link and enters a name, a number, a cut, a size, and chest and waist measured against our body-measurement chart.
  • Returning rider lines.

A rider coming back opens their line pre-filled from last year's locked roster, with last year's locked measurements on it, and confirms or changes them.
  • Unconfirmed lines.

A rider on last year's roster who has not confirmed by the close, usually a graduate or a rider who has left, goes on the list of unconfirmed lines sent to your team lead before the close. At the lock your lead decides each line, to order it or leave it out. No line is ordered by default.

Unconfirmed line: order it or leave it out

What your lead receives is one locked roster, signed by your lead and the Order Desk, with every rider's name, number, size and measurements on it.

The measurements are locked with the roster and kept in the team file, so next year's returning riders open their lines from them.

Every new and returning line goes through the same size check. The Order Desk picks the men's or women's chart from the cut on the line and flags it when:

  1. The chest measurement falls outside the range of the size entered for a jersey, gilet or jacket, including a chest on the shared limit of two sizes entered in the smaller one.
  2. The size the waist points to is two or more sizes away from the size the chest points to.
  3. The chest or waist measurement is missing.

Number clash

The Order Desk also compares every new rider's number with the numbers of returning riders. A clash puts the new rider's line on the pending list, and your team lead decides which of the two riders changes number.

We do not change a rider's number or size ourselves, and we do not contact riders.

Pending list

Every flagged line reaches your lead on the pending list before the window closes, with the reason written beside it, and your lead talks it through with the rider.

If the rider stands by the size entered, your lead confirms it and the locked roster carries the note "kept on team lead's confirmation".

Anything your lead has not settled by the close is decided at the lock, line by line: keep the size as entered, or take the line out of this window.

Released once the roster locks

When your lead leaves a returning rider's line out, that rider's number is released once the roster locks, and new riders can take it in later windows. The old line stays in the team file and is not deleted.

Your lead goes into the lock knowing which riders are new, which are back and which have left, with every number clash settled before printing.

Six Pieces and Four Documents Every School and College Team Holds

Every school and college team orders from the same six pieces, in one colourway, on one signed proof and one locked roster:

  • The team jersey, in men's and women's cuts, short and long sleeve, club fit or race fit.

  • The gilet.

  • The jacket.

  • Arm and leg warmers.

  • The cap.

  • Socks.

Any piece can be ordered for part of the team, with the ordering plan naming which riders get it. A team running a spring window can add a piece there for the whole team.

Jersey, gilet, jacket, warmers, cap and socks in one colourway laid out together

The proof is drawn by our Kit Layout Designer in your school or college colours, and one of its pages is a combined wearing drawing of only the pieces your team ordered. Production works from the version your lead signs and from nothing else.

When a committee or sponsors want a say, your lead gathers their comments into one reply each round, as described for clubs on our cycling club kit supplier page.

Kit handed out bag by bag, one bag per rider

Your team lead holds four documents each window:

  1. The signed layout proof.
  2. The locked roster, one line per rider with name, size and number.
  3. The per-rider packing list.
  4. Your team file record.

Each piece is checked by our Packing Lead before it goes into a rider's bag, and the packing list carries that signature.

Certificates behind the programme:

  • Our quality management system is certified to ISO 9001:2015.
  • The fabrics in your kit carry OEKO-TEX® STANDARD 100.
  • Our factory holds a BSCI social compliance audit.

Captain Handover: Team File Copy, Written Notice and Dated Versions

A student-run team changes captain each year, and a school team changes lead when a teacher or coach hands the team on. Both run the same way.

An outgoing kit lead handing over to the next one at a club meeting
A new university club captain reading through a copy of the team file at a table
  1. Notice.

The outgoing or the incoming captain tells us in writing. Your Programme Coordinator records the new lead in your team file and saves it as a new dated version. From that date, the new lead is the person who signs.
  2. Copy.

With a copy of the team file in hand, the new lead picks up where the last one stopped. The whole team is not re-sized, and the signed layout stands.
  3. What the file holds.

Your colour parameters and every version of the layout proof, with each locked roster and the measurements locked on it.
  4. Who changes it.

Two people on our side can edit the file, your Programme Coordinator and our Kit Layout Designer. Each edit becomes a new version with its date, the earlier ones stay on record, and layout edits wait for your lead's countersignature.
  5. How long it is kept.

We hold the file for 5 years from your team's most recent order, and your lead can request a copy whenever it is needed.
  6. The first line of the next reorder plan.

The ordering plan for the next intake states the layout proof's status on its own line: "signed version carried over, no re-signing", or "change needed", naming the zone or piece, to be countersigned before the window opens.

Our side changes hands the same way. A new contact on our side takes over the file and every signed document, and tells your lead in writing before the next contact.

A new captain's first intake starts from last year's locked roster and signed proof, under the new captain's name in the file.

Programme Edges for School and College Teams

Five limits apply to every school and college team. Each one comes from the way the programme runs, and each has a reply from us.

  1. The size range is XS to 3XL.

Our smallest size is XS, on separate men's and women's patterns, and first-years and returning riders measure against the same charts. Our reply is the size check, which puts any line outside its range in front of your lead before the lock.
  2. One window per production run.

A rider who joins after the lock registers on the waitlist, and no window is opened for one rider. Our reply is the spring window, or the next intake.
  3. One address.

The whole team's kit ships to your team lead, bagged per rider with name and sizes on each bag.Our reply is the per-rider packing list, one line per rider.
  4. One contact on your side.

We work through your team lead and do not contact riders or the school. Our reply is the roster link for riders and the pending list for your lead.
  5. Six upper-body and accessory pieces.

Bib shorts are a separate development, built and sampled to a reference you provide, on a separate schedule through procyclingapparel.com.

The three set-ups above sit inside all five edges.
